Outreach Grid has recently updated our Client Tools! This tutorial will give you an overview of the Client Tools and their new features.
The "Client Tools" are the second tab on the navigation bar. There are two subsections, "Clients" and "Contributed Clients". The "Clients" page leads to the list of clients that have been added to the platform. This list is sorted chronologically, beginning with the most recently added clients. Users can also sort the list with the oldest created clients, or by first or last name ascending using the buttons at the top of the list. The list can also be limited to clients that are veterans or who have been defined as chronically homeless. Users also have the ability to search for a particular client with the gray search bar at the top of the page.
Creating A Client
To create a new client, click the green "Create Client" button located in the upper right corner of the "Clients" page. You will then be navigated to the "New Client" page. Before creating a new client, you are prompted to first search for the client to ensure that no duplicate entries are created. If your new client has yet to be logged in the system, click the "Create New Client" button near the bottom of the page.
Outreach Grid uses the Universal Identifier Elements to gather initial client data. This initial assessment is customizable and may differ based on jurisdiction. Users should gather and enter information as accurately as possible. At the end of the initial assessment, there is a Release of Information Waiver available for the client to sign.
The waiver can be signed using the mouse if using the Desktop version, or by finger or stylus if using the web or mobile app on a touchscreen device. After the signature has been entered, the "Accept Signature" button must be clicked, and then a green "Submit" button will appear. Clicking this submit button will complete the process of creating a client, and you will then be navigated to the client's profile.
Contributing a Client
Our Client Tools also include "Contributed Clients". Contributed Clients are individuals that either users or contributors may encounter while doing outreach, yet there may not be enough information about the individual to establish them as a client in the Outreach Grid platform.
The "Contributed Clients" dashboard presents a list of all contributed clients in your Outreach Grid network. Note that each contributed client has a tag identifying whether or not the client has been associated with an existing client on the platform.
Users can contribute a client, by clicking the green "Contribute Client" button in the upper right corner of the screen.
Users will then be navigated to the "Pre-Client Form". The pre-client form has five fields: Description, First Name, Last Name, Gender, and Birthdate. None of the fields are required, but the user should try to enter as much information as possible to facilitate future association of the client.
After submitting the form, the user will be navigated to the contributed client's new profile page where the user can add new comments or media about the contributed client, or associate the contributed client with an existing client on the Outreach Grid platform. Users can also access this page by selecting the contributed client from the "Contributed Clients" dashboard.
Associating a Contributed Client
By clicking the green "Associate to Current Client" button, the user will be lead to a page to search the current existing clients on the Outreach Grid platform.
Once you have found and selected the appropriate client that matches the contributed client, you will be asked to confirm your selection. Select "OK" to continue merging this contributed client with the selected client.
After a successful merge, you will then be sent to the Client's profile page. The banner at the top of the page will confirm that the merge is successful.
The card for the contributed client on the Contributed Client dashboard will now show that the contributed client has been associated and the card will now navigate to the associated client's profile.
Now that your client has been created, you can begin doing work on the Client's Profile.
